Responsibilities

• Track approved sponsor benefits, logo and asset deadlines, in-kind commitments, and follow-up tasks
• Research and solicit auction or raffle items only from approved prospects and scripts
• Prepare acknowledgement lists, recognition checks, auction descriptions, and fulfillment notes
• Support auction display, bidder questions, item checkout handoff, and donor hospitality when assigned
• Reconcile nonfinancial records and draft personalized thank-you messages after each event

Schedule and shifts

Six to ten weeks before each event through two weeks after it. Expected commitment: 2–4 hours per week before the event plus an optional 4–6 hour event-day shift. Final shifts, meetings, and check-in instructions will be confirmed before placement.

What a typical assignment looks like

Volunteers prepare sponsor and auction materials, check recognition details against approved records, help stage displays, greet assigned donors or partners, and route financial, valuation, or commitment questions to authorized staff. Volunteers do not negotiate sponsorship terms, promise benefits, or independently handle restricted funds.

Event apparel

You’ll be easy for guests to recognize as part of the volunteer team. Before your shift, we’ll share the approved event look, any pickup or sizing details that apply, and practical guidance for comfortable footwear, layers, and weather.

Required qualifications

• Professional written communication and careful attention to detail
• Discretion with donor and sponsor information
• Able to use approved outreach language and escalate commitments or financial questions to staff

Preferred experience

• Fundraising, sponsorship, auction, sales support, donor relations, or CRM experience
• Knowledge of Pacific Northwest business and community networks

Technology and equipment

Email, Google Workspace, and an approved tracker or CRM. Volunteers may not export or retain donor data outside authorized systems.

Physical and accessibility considerations

Primarily desk-based; optional event-day work may involve standing and moving light display materials.

Training and support

Development briefing, confidentiality orientation, approved outreach scripts, sponsor-benefit matrix, and auction procedures.
