Responsibilities

• Confirm approved partner contacts, kit quantities, delivery windows, access notes, and allergy or instruction needs
• Prepare packing lists, labels, simple instructions, and quality-control stations
• Assemble and inspect kits without exposing donor, partner, or youth information
• Load and deliver kits using approved routes and documented handoff procedures
• Collect partner completion counts and brief feedback for staff review after distribution

Schedule and shifts

September through January; kit staging, packing, and delivery typically occur from late November through mid-December; exact dates TBD. Expected commitment: 2–4 hours per week during planning plus one or more 4–6 hour packing or 2–6 hour delivery shifts. Final shifts, meetings, and check-in instructions will be confirmed before placement.

What a typical assignment looks like

Depending on the assigned track, volunteers coordinate with approved partners, stage kits and packing supplies, follow an assembly and quality-control sequence, count completed kits, prepare delivery manifests, load only approved vehicles, and document handoff totals. Drivers follow current authorization, insurance, and safeguarding requirements; volunteers do not change recipients or delivery plans independently.

Event apparel

We’ll share the event’s festive volunteer look before your shift, along with practical guidance for comfortable layers, safe footwear, and packing or delivery work. You’ll know what to bring and what will be available before you arrive.

Required qualifications

• Reliable, organized, respectful of partner confidentiality, and able to follow food-handling and packing instructions
• Available for assigned packing or delivery windows during late November through mid-December
• Drivers must meet current license, insurance, vehicle, and route requirements

Preferred experience

• Community partnership, warehouse, fulfillment, delivery, food-service, volunteer coordination, or nonprofit program experience
• Familiarity with Washington or Oregon partner communities

Technology and equipment

Email, Google Workspace, and a charged mobile phone. Drivers may use an approved navigation tool.

Physical and accessibility considerations

Packing may involve standing, repetitive hand use, and lifting up to 25 pounds; driving assignments include loading and unloading. Seated quality-control and label roles are available.

Training and support

Program purpose, partner confidentiality, allergy and food-safety guidance, packing standard, route and handoff procedure, incident contacts, and data collection.
