How this role helps

Prepare, move, stage, inventory, install, and recover the supplies that keep Believe in Me annual events safe, organized, and on schedule.

Reliable logistics protect the guest and volunteer experience while helping more event resources reach scholarships and youth programs.

Responsibilities

  • Inventory supplies, signage, volunteer materials, equipment, and packing lists
  • Load, unload, stage, and distribute items according to the site plan
  • Install approved signs, tables, displays, check-in materials, and course or packing stations
  • Monitor supply levels and communicate shortages or hazards promptly
  • Break down stations, remove waste, reconcile equipment, and return materials to designated storage

Schedule and shifts

One to three weeks before each event through the final breakdown or delivery day. Expected commitment: 1–2 planning hours plus one or more 4–8 hour on-site shifts. Final shifts, meetings, and check-in instructions will be confirmed before placement.

CougsFirst! schedule: Seattle Show & Career Expo: Friday, May 29, 2026 at the 505 Building in Pioneer Square; public program 2:00–7:00 p.m. and show floor 4:00–7:00 p.m. Spokane: annual Spokane show; the 2026 date, venue, and Believe in Me volunteer call time are TBD. Final volunteer shifts will be confirmed before placement.

What a typical assignment looks like

Volunteers work from a load-in and staging plan to count supplies, label zones, place signage, assemble tables or displays, keep aisles and accessible routes clear, support restocking, and complete a final sweep during breakdown. Heavy lifting, vehicle use, electrical work, or equipment operation is assigned only when approved and appropriate.

Event apparel

You’ll receive clear, event-specific guidance before each assignment so guests can recognize you and you can work comfortably. We’ll confirm any event apparel or seasonal accessories, along with practical footwear, layering, and weather recommendations.

Required qualifications

  • Dependable, safety-conscious, and able to follow a site plan and lifting instructions
  • Available for the complete assigned setup, operations, or breakdown shift
  • Comfort working as part of a fast-moving volunteer team

Preferred experience

  • Event production, warehouse, facilities, moving, inventory, or route logistics experience
  • Valid driver’s license for driving assignments

Technology and equipment

Charged mobile phone; shared checklists may be provided. Drivers must meet current license, insurance, and vehicle requirements.

Physical and accessibility considerations

Some assignments require outdoor work, extended standing, bending, and lifting up to 25 pounds; lighter-duty and seated assignments should be identified during placement.

Training and support

Site orientation, lifting and equipment safety, emergency contacts, weather plan, and role-specific checklist.
